How to organise a golf day
By Caddyio · Updated
A golf day runs smoothly when you lock the essentials early — date, format, field size and prizes — then handle the tee sheet, scoring and results cleanly on the day. Use the checklist below and work backwards from the date.
Four to six weeks out
- Set the date and format (Stableford or a Texas Scramble are the friendliest for mixed abilities).
- Fix the field size and whether it's a two-tee or shotgun start.
- Open entries and decide entry fee, what it includes, and the handicap policy.
- Book catering and confirm any sponsors or prizes.
The week before
- Build the draw / tee sheet and publish start times.
- Prepare scorecards (or set up live scoring) and the prize categories.
- Brief your starter and any marshals on pace of play.
On the day
- Run registration and confirm handicaps and start times.
- Get groups away cleanly from the first tee (or shotgun).
- Score as play progresses and keep a leaderboard visible.
- Finish with results and prizegiving while people are still in the clubhouse — it's what they remember.
Afterwards
- Publish results, thank players and sponsors, and submit any qualifying scores for handicap.
Frequently asked
- How long does a golf day take?
- A two-tee start of ~80 players usually plays in around 4.5 hours; a shotgun start gets everyone finishing together, which is better for a prizegiving.
- What's the best format for mixed abilities?
- Individual Stableford or a Texas Scramble — both keep slower or higher-handicap players in the game.
- How far ahead should I book?
- Popular host venues and society dates go 3–6 months out, more for weekends in peak season.
With Caddyio you build the draw, run live scoring and a clubhouse leaderboard, and publish results the moment the last group is in.
