What actually happens, who at the club does each part, and how long it really takes. Most clubs are live in an afternoon — here is what that afternoon consists of.

A walkthrough built on your club rather than a demo club, so you are looking at your own holes, your own scorecard and your own member journey. You get pricing for your size of club in the same conversation.

Your club and courses are created

Caddyio matches your club against the UK golf course directory and pre-fills your courses, tee sets, a hole skeleton and location. Nothing is locked: every value is editable, and the match is confirmed by your staff rather than assumed.

Check the scorecard

Par, stroke index and yardages for every tee set, in a visual editor that looks like the card on the wall. This is the one step worth doing carefully: every net score, Stableford point and handicap calculation afterwards rests on it.

Invite your members

Members join through your club's own link or a printable QR poster for the clubhouse, and land in an account already attached to your club. There is no app for them to install and no member list to import if you would rather they self-serve.

Set up your staff

Invite your team with the role each needs: owner, admin, staff or coach. A coach sees coaching and members but not billing; general staff run the day-to-day without touching branding or subscriptions.

Run your first competition
Same week·Competition secretary
Create the competition, members score hole-by-hole from their phones as they play, and the leaderboard updates live. Most clubs do this within the first week, and it is the moment the membership notices something changed.

Switch on the rest, when you want it

The tee sheet, driving-range and simulator booking, the clubhouse wallboard, pace of play, on-course ordering, coaching and greenkeeping reports are each switched on independently. Nothing forces a club to adopt everything at once, and most do not.
- ·Course mapping — needed for the GPS wallboard and shot maps — takes a walk round with a phone, or a drone survey if you want the higher-resolution version.
- ·Branding, colours and a custom domain can be done on day one or in month three.
What you keep
Caddyiois deliberately not a rip-and-replace. Your union-connected handicap provider stays the official record. Your till stays your till. If you use a distribution network to fill visitor tee times, that carries on. The parts Caddyio takes over are the member experience, the round itself and the club’s own day-to-day operations — which is why it can go live in an afternoon rather than a migration project.

How long does it take to get a golf club live on Caddyio?
- Most clubs are live in an afternoon: the club and courses are created in minutes from the golf course directory, the scorecard takes 20 to 40 minutes per course to check, and inviting members is a link or a QR poster. Running your first live competition usually happens in the same week.
What do we have to do ourselves?
- Realistically two things: check the scorecard is right for each course, and tell your members it exists. Everything else is either pre-filled from the golf course directory or optional. Course mapping for the GPS wallboard needs somebody to walk the course with a phone, but the wallboard is optional and can wait.
Do we have to import our member list?
- No. Members can join themselves through your club's link or a QR poster in the clubhouse, landing in an account already attached to your club. If you would rather have the roster in place first, staff can add member records directly.
Do we have to switch everything on at once?
- No, and most clubs do not. The tee sheet, range and simulator booking, wallboard, pace of play, on-course ordering, coaching and greenkeeping are switched on independently, whenever the club is ready for each.
Can we keep our existing handicap and EPOS systems?
- Yes, and you should. Caddyio is not your union-connected handicap record and has no point-of-sale, so it is designed to run alongside both rather than replace them. See the integrations page for exactly where the boundaries sit.
What slows a club down?
- Two things. A club that is not in the UK golf course directory needs its courses entered by hand, which adds about an hour. And a scorecard nobody checks properly causes handicap and Stableford queries later, so it is worth the person who knows the card doing that step rather than delegating it.
